Privacy information for the RDM VoteBot service

Important information

• The contract language for the related service agreement is German.

2. Processed data

The service may process Discord user IDs, Discord display names, guild/server IDs, SteamID64 values, Top-Games vote data, token balances, shop orders, reward claims, timestamps, and technical log data.

If the service is provided as paid annual access, the provider may also process customer and contract data such as contact details, business or community name, email address, invoice and payment information, payment status, activation date, access period, expiry date, and support or contract communication.

3. Purpose

Data is processed to provide the voting system, registration, weekly rankings, token accounting, shop purchases, reward delivery, abuse prevention, support, and technical operation.

For paid annual access, customer and contract data is processed to create and manage the customer relationship, assign payments, issue invoices where required, activate and extend access periods, manage expiry dates, provide support, document the agreed service period, and comply with statutory retention duties.

The service does not require an automatic subscription or automatic recurring billing. Where access is extended for another year, this is handled by manual booking, agreement, and payment.

4. Legal basis

Processing is generally based on contract performance, legitimate interest in secure operation, and legal obligations where applicable.

Customer, contract, payment, invoice, activation, and access-period data is processed in particular for contract performance, pre-contractual steps, service administration, technical access control, support, and compliance with legal retention duties. Legitimate interests may include secure operation, abuse prevention, documentation of service periods, and reliable customer communication.

5. Third-party services

The service can interact with Discord, Steam, Top-Games, hosting providers, payment or banking providers, and DayZ server infrastructure. These providers may process data under their own terms and privacy policies.

6. Storage and deletion

Data is stored only as long as required for operation, accounting, support, abuse prevention, or legal retention duties. Customers may request deletion where no retention reason applies.

Customer and contract data related to paid annual access may be retained for the duration of the customer relationship and afterwards where required for accounting, tax, evidence, documentation, or statutory retention purposes. Access-related data such as activation and expiry dates may be kept as long as it is required to manage the service period and document the contractual relationship.
